Do customers actually want to talk to a chatbot?

Mostly, no. Three vendor-commissioned UK surveys from 2025 point the same way:

  1. 83%

    8x8 (2025)

83% of UK customers prefer a real person for support; 4% prefer a bot.

  2. 61%

    Trustpilot (August 2025)

61% want a human; only 10% want more AI in customer service.

  3. 5%

    Qualtrics (2025)

5% prefer an automated assistant, 58% worry they won't be able to reach a human, and 33% don't trust the information AI gives them.

What people do want is an answer now. The chatbot that works resolves routine questions instantly (hours, prices, "where's my order"), admits what it can't do, and gets a human involved fast. The human route is the main feature, not a fallback.

What can a custom AI chatbot do for a business?

Glass Verandas UK Homepage
  • Answer from your own materialprice list, FAQs, policies and service pages, and nothing else. This is retrieval-augmented generation (RAG), which means "look it up in the approved folder before you speak".
  • Book and reschedule appointmentsby connecting to your calendar or booking system, confirming by email or SMS.
  • Capture and qualify leadswith the three or four questions you'd ask on the phone, then create the contact in your CRM and alert the right person.
  • Triage enquiriesinto sales, support or complaints and route each to the right inbox.
  • Run on more than one channelwebsite, WhatsApp Business, Facebook Messenger and Instagram, with one knowledge base behind all of them.
  • Hand over to a personwith the full transcript, so the customer never repeats themselves.
  • Answer in other languageswhere your customers use them, from the same English source material.

If the job goes beyond conversation, such as reading documents and updating several systems, that's an AI agent. If it's connecting systems without talking to anyone, it's automation.

How does the hand-over to a human work?

Hand-over to a human is built into every conversation, by design. The bot hands over when any of these happens:

  • The customer asks for a person, in any wording.
  • The question touches money, contracts, health, legal rights or a complaint. The bot doesn't attempt these; it collects the details and passes them on.
  • The bot can't find an answer in the approved sources. It says so rather than guessing.
  • Two answers in a row haven't resolved the question.
  • The tone of the conversation turns frustrated.

In office hours it goes to a named person by live chat, call-back or email, with the transcript. Outside hours the bot says when someone will reply and captures the details, so the morning starts with a queue, not a missed customer.

Should we buy an off-the-shelf chatbot or have one built?

Ours: To confirm: Vimana to confirm. The honest rule: a handful of near-identical enquiries a week calls for a £30-a-month tool, and we'll say so. A custom build earns its cost when enquiries are frequent, answers depend on your own content, or you need bookings, CRM updates or control over customer data.

What stops an AI chatbot making things up?

Nothing stops it completely, and anyone promising "zero hallucinations" is overselling. What you can do is make wrong answers rare, visible and cheap to fix:

  • Source restrictionThe bot answers only from the approved material. If the answer isn't there, it says "I don't have that information" and offers a person.
  • Refuse-rather-than-guess instructions, tested against the awkward questions your staff actually get asked.
  • No-go topics routed straight to a humanpricing exceptions, refunds, anything medical, legal or financial.
  • A log of every conversationwith the sources used, so a wrong answer can be traced to the document that caused it.
  • Transcript review after launch, weekly for the first month and monthly after that, feeding corrections back into the sources.
  • A content owner on your sidewho updates the sources when prices or policies change.

Are we legally responsible for what our chatbot says?

Assume yes. In Moffatt v Air Canada (February 2024), the airline's chatbot wrongly told a passenger he could claim a bereavement discount after flying. Air Canada argued the chatbot was a separate legal entity. The British Columbia Civil Resolution Tribunal disagreed, found negligent misrepresentation, and said the airline "is responsible for all the information on its website… whether the information comes from a static page or a chatbot." The award was small (CAD $812.02); the principle isn't. It doesn't bind UK courts, but a UK court would recognise the standard of care.

Telling people it's a bot. The ICO expects transparency about automated processing. For EU customers, Article 50 of the EU AI Act has required since 2 August 2026 that people are told they're talking to an AI, with fines up to €15 million or 3% of turnover. Our widgets disclose it in the first message, for every user.

Is a chatbot GDPR compliant?

A chatbot is compliant only if the way you run it is. Before launch we set up, with you:

  • A privacy line in the widgetwhat's collected, why, and for how long.
  • A lawful basisfor processing, usually legitimate interests for answering enquiries and consent for any marketing follow-up.
  • Retentiontranscripts kept no longer than needed, typically 30–90 days unless they become a lead or a complaint.
  • A data processing agreementwith the AI model provider, on a business tier that doesn't train on your conversations.
  • Hostingin the UK or EU where the provider offers it.
  • Cookie and consent handlingfor the widget, matching your site's existing banner.
  • A Data Protection Impact Assessmentif the bot handles special-category data such as health, or profiles people.

What we can show you

We don't yet have a published chatbot case study To confirm: chatbot client, even anonymised. What we can show is the engine underneath: the Webro purchase-order agent reads PDFs with hundreds of lines, understands mismatched product descriptions and prepares a result for a person to approve. The same "answer only from this data" approach sits behind a custom chatbot. Delivered in three weeks; up to 48 hours of work down to around two minutes.

Our Google reviews are for web and SEO projects, so read them as evidence of how we work with people who aren't technical:

  • "Amit has been really helpful with the design of my website; he has lots of patience ; as I am not the most tech savvy person." Marie Martin, Google review
  • "I really valued having a team that didn’t simply take instructions, but genuinely helped shape the project and bring the best ideas to life." Andy Parker, Google review

How we build a chatbot

A website chatbot trained on existing content typically takes two to four weeks; adding CRM, booking or WhatsApp integration usually extends that to six to eight weeks. We build the site it sits on (web design) and keep it updated through website management. If the bot needs a system to write into, see CRM development.

  1. 1Collect the questions:Two weeks of real enquiries from your inbox, phone log and social messages.
  2. 2Approve the sourcesThe bot may answer from. This nearly always takes longest.
  3. 3Design the hand-over rulesAnd the no-go topics with whoever answers the phone today.
  4. 4Build and testAgainst the real question list, including the awkward ones.
  5. 5Launch on the website first,Then WhatsApp or Messenger once the answers are proven.
  6. 6Review transcriptsWeekly for a month, then monthly, and update the sources.

How much does an AI chatbot cost in the UK?

Off-the-shelf tools cost roughly £20–£100 a month and you set them up yourself. UK agencies price custom chatbots trained on your own content from about £1,500 for a simple FAQ bot to £5,000–£25,000 with CRM, WhatsApp or booking integration, plus £100–£400 a month to run.

Do customers actually want to use a chatbot?

Most prefer a human: UK surveys in 2025 found between 61% and 83% of people would rather speak to a person. They do value an instant first response and 24/7 answers to simple questions. The design that works resolves the routine, admits what it can't do and hands over to a person quickly.

Can the chatbot answer from our own documents and prices?

Yes. We connect it to an approved set of sources such as your price list, policies, FAQs and product pages, using retrieval-augmented generation. The bot answers only from that material, shows where the answer came from where useful, and says it doesn't know rather than guessing when the answer isn't there.

What is the difference between a chatbot and live chat?

Live chat is a person typing in real time; a chatbot is software answering automatically. The useful set-up is both: the bot takes the first response and the routine questions at any hour, and live chat, a call-back or email picks up anything it can't resolve, with the transcript attached.

Do we have to tell people they're talking to an AI?

Yes, in practice. The ICO expects transparency about automated processing, and if any users are in the EU, Article 50 of the EU AI Act has required disclosure since 2 August 2026. Beyond the law, customers who discover they were misled trust the business less. Our widgets disclose it in the first message.

Can it book appointments or take payments?

Booking, yes, by connecting to your calendar or booking system and confirming by email or SMS. Payments are better handled by sending a secure payment link from your existing provider rather than taking card details in the chat, which keeps you outside card-data compliance scope and keeps customers comfortable.

Does it work on WhatsApp and Facebook Messenger?

Yes. One chatbot with one knowledge base can run on your website, WhatsApp Business, Facebook Messenger and Instagram. WhatsApp requires Meta to approve your business and any message templates you send first, which we handle during set-up. We usually launch on the website first and add channels once answers are proven.

How long does it take to build a chatbot?

A website chatbot trained on your existing content typically takes two to four weeks including testing. Adding CRM, booking or WhatsApp integration usually extends that to six to eight weeks. The main delay is almost always gathering and approving the content the bot is allowed to use, not the build.
