AI development company for businesses that want a process fixed, not an experiment
We build AI automations, custom chatbots and AI agents around one specific bottleneck in your business, then measure the difference. Our purchase-order agent for Webro took a task from up to 48 hours to around two minutes, and was delivered in three weeks.

Vimana Digital is an AI development company in the East Midlands that builds workflow automations, custom chatbots and AI agents for UK businesses. Projects start with a use-case audit of the task that costs you most time. Simple automations typically take days; document-reading agents take weeks. We quote per scoped project, not from a rate card.
Using ChatGPT is not the same as automating a process
The Office for National Statistics found that 35% of UK businesses with ten or more staff used at least one AI technology in June 2026, up from around 12% in late 2023 (ONS, 2026). That sounds like a lot of automation. It isn't. The most common use is text generation with a large language model, at 18% of firms. Only 12% use machine learning to process data, and just 10% of adopters call their use "extensive". In plain terms: most firms have someone drafting emails in ChatGPT; almost nobody has a process that runs itself.
The ONS also asked what gets in the way. The top three barriers were lack of expertise, cost, and difficulty identifying use cases. That third one is the problem we solve first. Show us the job your team dreads, and we'll tell you honestly whether automation, a chatbot, an agent, or no AI at all is the right answer.

What's the difference between an automation, a chatbot and an AI agent?
An automation follows fixed rules. A chatbot holds a conversation. An AI agent is given a goal and tools and works out the steps itself.
Automation
- What it is
- Fixed rules: when X happens, do Y
- Household equivalent
- A thermostat
- Good at
- Repetitive, predictable steps across apps
- Weak at
- Anything that varies
- UK market cost (published by UK agencies, 2026)
- £400–£5,000 build + £20–£100/month
- Human control
- Error alerts
- Webro example
- Email intake and PDF extraction
Chatbot
- What it is
- A conversation window that answers questions
- Household equivalent
- A receptionist with a script
- Good at
- FAQs, bookings, hand-overs, 24/7 first response
- Weak at
- Anything off-script or sensitive
- UK market cost (published by UK agencies, 2026)
- £1,500–£25,000 build + £100–£400/month
- Human control
- Hand-over to a person
- Webro example
- Not used
AI agent
- What it is
- Software given a goal and tools; it works out the steps
- Household equivalent
- A capable PA you brief, then check
- Good at
- Messy inputs: reading documents, matching, deciding what to do next
- Weak at
- Being left unsupervised on high-stakes decisions
- UK market cost (published by UK agencies, 2026)
- £7,000–£30,000+ build, plus usage
- Human control
- Approval step before anything is sent
- Webro example
- Part matching and quote preparation
Market costs are other UK agencies' published ranges: To confirm: Vimana to confirm. Most real projects combine all three, as Webro did: automation for intake, an agent for the hard middle, a human for the decision.
Four AI services, one way of working
- AI automationconnecting the software you already use (Xero, HubSpot, Microsoft 365, WooCommerce) so routine steps run without anyone re-keying data. Best for enquiries, quotes, invoices, bookings and reporting.
- Custom AI chatbotsanswers only from your approved prices, policies and documents, and knows when to hand over to a person. Best for first response, bookings, website and WhatsApp.
- AI agentsbespoke agents that read documents, reconcile mismatched data and prepare work for approval. Best for purchase orders, invoices, reconciliation and document intake.
- AI-enabled marketinggetting cited in ChatGPT, Perplexity and Google AI Overviews, with a human accountable for every claim.

48 hrs~2 minfor the type of complex order it was designed for
- Client
- Webro Cables & Connectors Ltd, manufacturing and cable supply.
- Problem
- Customers worldwide sent purchase orders with hundreds of line items using their own part numbers. Webro's references were different, so someone matched every line by hand from the descriptions. Large orders could take up to 48 hours.
- History
- The project had been taken on elsewhere with a three-month delivery expectation, then handed back when that team concluded it could not deliver.
- What we built
- A bespoke AI agent in six stages: receive email, extract PDF, read items, match parts, prepare quote, review and action. A person approves before anything is sent.
- Result
- Up to 48 hours to around two minutes for the type of complex order it was designed for. Delivered in three weeks, on less budget than the previous agency had charged.
"I can't believe that not only were you able to deliver everything I ever dreamed about, but you did it in only three weeks and on less budget than the previous agency charged." — Director, Webro
The project came through a referral from our East Midlands Chamber business adviser. We don't publish screenshots or matching rules from client systems.
Why do so many AI projects fail?
Three pieces of research say different things, and it's worth keeping them apart.
RAND (2024)
Interviewed 65 data scientists and engineers and reported that "by some estimates more than 80% of AI projects fail", about twice the rate of non-AI IT projects. Its five root causes: misunderstanding the problem, insufficient data, inadequate infrastructure, technology-first thinking, and applying AI to problems too hard for it.
MIT Project NANDA (2025)
Reported that 95% of organisations saw no measurable profit-and-loss return from generative AI pilots, blaming brittle workflows and poor integration rather than the models.
Gartner (2025)
Forecast that more than 40% of "agentic AI" projects would be cancelled by the end of 2027 for unclear value, rising costs and weak risk controls, and warned of "agent washing" by vendors.
The Webro brief shows why RAND's first cause matters: the hard part was understanding why matching customers' part numbers was difficult, not choosing a model. Our process is built around those causes:
- 1
Use-case audit first
The real process, the exceptions and what "done" looks like, before any talk of tools.
- 2
Review the brief before quoting
We did this for Webro before we knew the client's name.
- 3
Agreed scope and timeline
You get a fixed price in writing before any code is written.
- 4
Build with a human checkpoint
A review step before anything is sent, paid or changed.
- 5
Measure against the baseline
We record how long the task takes today, so the saving is a number, not a feeling.
Can AI make decisions about your customers on its own?
The agent
reads and matches
A person reviews
- Has the authority
- Understands the output
- Can override it
Then the customer
only after approval
Since 5 February 2026, UK GDPR Article 22 has been replaced by Articles 22A to 22D under the Data (Use and Access) Act 2025. Solely automated "significant decisions" are now generally permitted for ordinary personal data if safeguards exist: telling people, letting them make representations, offering human intervention and a right to contest. A decision is "solely automated" where there is no meaningful human involvement.
The ICO's draft guidance on automated decision-making (consultation closed May 2026; final version not yet published) is reported to say token review isn't enough: the reviewer needs authority, must understand the output, and must be able to override it. The ICO's Tech Futures report on agentic AI (January 2026) put it plainly: "AI agency does not remove human, and therefore organisational, responsibility."
That is how the Webro workflow is built. The agent reads and matches; a person reviews and sends. It keeps meaningful human involvement in the decision and catches the agent's mistakes before a customer sees them.
One more rule: if your chatbot talks to EU customers, the EU AI Act's Article 50 transparency duty has applied since 2 August 2026, so people must be told they're talking to an AI, with fines up to €15 million or 3% of worldwide turnover. We build the disclosure into the widget. And you are liable for what the bot says (Moffatt v Air Canada, 2024), which is why we design chatbots to answer only from approved sources. More on our chatbot page.
How we handle your data on an AI project
We don't use "GDPR compliant" as a badge. This is the procedure we follow:
- Customer record
- Name
- Phone
- Address
- Order lines
- Part numbers
- Payment details
- Notes
Sent to the model
- Order lines
- Part numbers
Log
- Read: order lines
- Matched: part numbers
- Approved by: a person
- 1Agree where data is processed, with UK or EU options where the provider offers them.
- 2Put a data processing agreement in place with any AI model provider, on a business tier that does not train on your data.
- 3Assess whether a Data Protection Impact Assessment is needed before the build.
- 4Send only the fields the task needs, never the whole record.
- 5Log what the system read and did, so you can answer any question about a decision.
- 6Never paste customer data into free consumer chatbots.

Published UK agency prices in 2026 run from around £400 for a single no-code workflow (AI Automate Company) to £5,000–£80,000 for bespoke multi-step automation (The AI Consultancy). Custom chatbots are listed at £1,500–£6,500 (Softomate), up to £25,000 with CRM and WhatsApp integration. Single-workflow AI agents are typically £7,000–£30,000 over 10–24 weeks (Tinderhouse, OpenKit). Those are other firms' prices: To confirm: Vimana to confirm. We quote a fixed scope after the use-case audit; Webro's agent cost less than the previous agency charged for a project they didn't finish.
Running costs are falling fast. Epoch AI (2025) found the price to reach a fixed level of AI capability falls between 9× and 900× per year depending on the task; Stanford's AI Index (2025) put GPT-3.5-level inference cost down more than 280-fold in two years. For a small business, model usage on a document-processing workflow is often tens of pounds a month, and you should be able to see the usage figures from day one.
Payback: hours saved per week × loaded hourly cost × 48 weeks, against build plus running costs. Seven hours a week at £20 an hour recovers a £5,000 build in under a year.
Where AI pays back first
The pattern is always the same: a task that happens often, takes real time, involves reading or matching, and causes problems when late or wrong.
- Manufacturing and distributionpurchase orders, part matching, quoting.
- Accountancy and financeinvoice capture, approvals, reconciliation, data entry into Xero or Sage.
- Legaldocument intake, classification, routing to the right fee earner.
- Sports and leisureavailability, confirmations, reminders.
- Operationsorders, logistics, approvals spanning several systems.
Why work with us on AI
- We start with the problem"Don't ask where AI fits into your business. Show us where your business gets stuck."
- One team for the whole systemYour website, CRM, app and AI workflow are planned and built together by our core team.
- Not locked to one AI vendorWe keep the model swappable and use open standards such as the Model Context Protocol, governed by the Linux Foundation's Agentic AI Foundation since December 2025.
- 5.0 from 50 Google reviewsof the agency, for web and SEO work; Webro is our published AI case. We'd rather say that than imply a longer list. To confirm: a second AI client, even anonymised

Frequentlyaskedquestions
Not covered here? Call and ask. We reply within 24 hours.
What does an AI development company actually do?
It builds software that uses AI to do a specific job inside your business, rather than selling you a generic tool. For us that means workflow automation, custom chatbots trained on your information, AI agents that read and match documents, and AI-enabled marketing. Every project starts with a use-case audit of one bottleneck.
What is the difference between automation, a chatbot and an AI agent?
Automation follows fixed rules, such as "when an order arrives, create a record". A chatbot holds a conversation and answers questions. An AI agent is given a goal and tools, works through messy inputs such as PDFs or mismatched part numbers, and hands its result to a person for approval.
How do we know whether AI is right for our business?
Start from the process your team dreads, not from the technology. If it is repetitive, slow, involves reading or matching information, and happens often, it is a candidate. We review the brief first and will say plainly if a simpler fix, or no AI at all, is the better answer.
How long does an AI project take?
It depends on scope, but complex does not have to mean slow. Our purchase-order agent for Webro was delivered in three weeks, after another team with a three-month plan had handed the brief back. Simple workflow automations usually take days; agents that read documents and match data typically take a few weeks.
How much do AI services cost in the UK?
Published UK market ranges run from a few hundred pounds for a single no-code workflow to £10,000–£30,000 for a bespoke AI agent, plus running costs often under £100 a month for small firms. We quote a fixed scope after reviewing your process rather than from a rate card.
Is our data safe with an AI system?
Only if the design makes it so. We agree where data is processed, put a data processing agreement in place with any model provider, assess whether a DPIA is needed, send only the fields the task requires, and log what the system read and did. We use business tiers that do not train on your data .
Can AI make decisions about our customers on its own?
Since 5 February 2026, UK GDPR Articles 22A–22D allow some solely automated decisions with safeguards, but the ICO expects genuine human review with authority to override. Our default is a human approval step before anything is sent or changed, which is how the Webro workflow operates.
Do you use ChatGPT, or build something custom?
We use whichever large language model suits the task and budget, wrapped in our own workflow logic, so you are not locked to one provider. Where open standards such as the Model Context Protocol apply, we use them so tools and models can be swapped later without rebuilding.
Do you work with businesses outside the East Midlands?
Yes. We are based in Long Eaton and work with clients across the UK and internationally. Automation, chatbot and agent projects are delivered remotely, with calls and screen-shares at each stage. Local clients can meet us in person, which some prefer for mapping a process on a whiteboard.
What does your team still do manually?
Send us the process. We'll tell you whether automation, a chatbot or an agent fits, and quote a fixed scope. No obligation, no jargon.
