Email Marketing Services — Campaigns and Automations That Reach the Inbox
The list you already own is the cheapest marketing channel you have. We make it comply with UK consent law, pass Google and Yahoo's sender rules, and send the right message at the right moment.
Email marketing services cover strategy, list consent checks, template design, campaign writing, automated flows and reporting for businesses that want repeat sales and enquiries from existing contacts. Vimana Digital runs email on Mailchimp, HubSpot, Klaviyo or Brevo, sets up authentication so mail lands in the inbox, and prices monthly.
What our email marketing service includes
Consent and list auditwhere each contact came from, what they agreed to, and who must be removed before the first send (Section 5)
Deliverability set-upSPF, DKIM and DMARC records, one-click unsubscribe headers and Postmaster Tools monitoring (Section 6)
Platform set-up or migrationMailchimp, HubSpot, Klaviyo or Brevo, connected to your forms, shop or CRM
Template designthat matches your brand and renders properly on phones
Campaign writing and sendingScheduled when your audience actually opens
Automated flowsthat run without you (Section 4)
Monthly reportingon deliveries, opens, clicks, unsubscribes, complaints and, most importantly, enquiries and revenue attributed to email; the same content feeds social media and Meta Ads retargeting
Email automation flows we build
An automated flow is a sequence triggered by something a contact does, written once and sent for months. The fastest to pay back:
Welcome sequence (new sign-up)three or four emails introducing what you do and one clear offer
Post-purchase (order complete)delivery expectations, how-to content, then a review request timed for when the product has arrived
Quote follow-up (enquiry sent, no reply after a set number of days)for trades, B2B and professional services, where many lost leads simply go quiet
Re-engagement (no opens in 90 days)one honest "still want these?" email, then removal, which protects your sender reputation
Internal alerts (high-value action)your sales team gets a task when a prospect opens a proposal twice; pairs with a bespoke CRM or AI automation
Who you're allowed to email in the UK: PECR and UK GDPR in plain English
PECR (the Privacy and Electronic Communications Regulations) governs marketing emails and texts; UK GDPR governs how you hold the data. From the ICO's guide to PECR:
Who you want to email
What you need
Notes
Individuals who are not customers
Specific consent, such as a ticked opt-in box
Pre-ticked boxes don't count. Bought-in lists need consent given to you by name
Your own existing customers (individuals)
The "soft opt-in": details collected during a sale or sales negotiation, marketing for similar products, and a clear chance to opt out at collection and in every message
All conditions must be met. It doesn't cover prospects who never reached a negotiation
Sole traders and most partnerships
Treated as individuals: consent or soft opt-in
The most common B2B mistake: "it's a business" doesn't make it a corporate subscriber
Limited companies, LLPs, public bodies
No PECR consent needed, but identify yourself, provide a valid opt-out address and honour objections
Keep a "do not email" list and screen new lists against it (ICO good practice)
Why this is no longer a box-ticking exercise:
On 20 January 2026 the ICO fined two companies a combined £225,000 under PECR Allay Claims Ltd£120,000 for 4,046,947 texts sent without a simple way to refuse marketing at collection, so the soft opt-in failed. ZMLUK Limited: £105,000 for 67,772,285 emails sent on third-party "consent" where people saw a list of 361 partner companies with no way to choose. The ICO's Head of Investigations: "Relying on vague or third-party consent, or sending marketing messages under the guise of service updates, isn't enough."
The maximum PECR fine is rising from £500,000 to the higher of £17.5 million or 4% of global turnoverunder the Data (Use and Access) Act 2025 (MFMac, July 2025). Commencement is by secondary legislation.
The same Act extends the soft opt-in to charitiesfor fundraising emails to previous supporters. The ICO says its email guidance is under review as a result; we check the current version before any new list goes live.
Before the first campaign we audit where every contact came from, document the lawful basis per segment, remove or re-permission anyone who doesn't qualify, and put an unsubscribe link and your address in every template.
Getting into the inbox: Google and Yahoo's sender rules since February 2024
Since 1 February 2024, Gmail and Yahoo have enforced technical requirements on anyone sending to their users; fail them and mail is throttled or binned unseen. From Google's Email sender guidelines and Yahoo's Sender Hub:
Requirement
All senders
Bulk senders (5,000+ messages a day to Gmail)
Authentication
SPF or DKIM
SPF and DKIM and a DMARC policy (p=none is acceptable), with the From domain aligned to SPF or DKIM
Spam complaint rate (Postmaster Tools)
Below 0.3%
Below 0.3%; Google recommends staying under 0.1%
Unsubscribe
Visible link, honoured promptly
One-click unsubscribe via List-Unsubscribe headers (RFC 8058) plus a visible link; Yahoo requires requests processed within 2 days
Infrastructure
Valid forward and reverse DNS, TLS, RFC 5322 formatting
Same
DKIM key length
1,024 bits minimum; Google recommends 2,048
Same
Two consequences most small businesses miss:
1Your domain needs the records even if you send 500 emails a monthSPF or DKIM is required for every sender, and most platforms won't let you send from your own domain without DKIM anyway. We've fixed this for a client whose website emails were failing authentication; the review is below.
2Complaint rate is a trailing indicator of consentThe 0.3% threshold is three complaints per thousand emails. Bought or stale lists blow through it in a single send, which is why Sections 5 and 6 are the same problem.
Standard set-up for every client: SPF, DKIM and DMARC (p=none first, tightened once every legitimate sender is aligned); Postmaster Tools and Yahoo's Complaint Feedback Loop; one-click unsubscribe headers; a sunset rule for people who never open.

On return: the DMA's UK benchmarking is widely quoted at around £42 of revenue per £1 spent (DMA 2025 UK Email Benchmarking Report, via Whito, September 2026). Treat that as an industry average, not a forecast; we set a target cost per enquiry at the start so you judge it on your numbers.

Do I need consent to send marketing emails in the UK?
For individuals, yes: PECR requires specific consent, or the "soft opt-in" for your own customers where you offered an opt-out at the point of sale and in every message. Limited companies and LLPs can be emailed without consent, but sole traders count as individuals. The ICO fined two firms £225,000 in January 2026 for getting this wrong.
Can I email a list I bought or was given?
Not safely. The soft opt-in never applies to bought-in lists, and consent collected by a third party only counts if it named your business specifically and the person could choose. ZMLUK was fined £105,000 in January 2026 for sending 67 million emails on "partner" consent. We'll tell you if a list can't be used.
What are the Google and Yahoo bulk sender rules?
Since February 2024, anyone sending to Gmail or Yahoo needs SPF or DKIM authentication, a spam complaint rate below 0.3% and a working unsubscribe. Senders of 5,000+ messages a day also need DMARC, aligned From domains and one-click unsubscribe headers. We set all of this up as standard, whatever your volume.
Why are my emails going to spam?
Usually one of four things: missing SPF, DKIM or DMARC records on your domain; a complaint rate above 0.1–0.3% from a stale or unconsented list; sending from a brand-new domain at full volume; or spammy templates built mostly of images. We check your domain records and Postmaster Tools data first, because that's where most problems are.
How much does email marketing cost per month?
UK agencies typically charge £1,500–£2,500 a month for campaign execution, £2,500–£4,000 with automation and testing, plus £500–£2,500 set-up (Advertizingly, June 2026) . Platform fees are separate and often free at small list sizes.
Which email platform should I use: Mailchimp, Klaviyo, HubSpot or Brevo?
It depends on what you sell. Klaviyo suits online shops because of its deep WooCommerce and Shopify data. HubSpot suits B2B firms that want email tied to a CRM. Mailchimp and Brevo suit small businesses with simpler needs and lower costs. We'll recommend one and build on it; we don't take platform commissions .
What is email automation and is it worth it for a small business?
Email automation is a sequence that sends itself when a contact does something: signs up, abandons a basket, buys, or goes quiet. It's worth it because it runs every day without you. A welcome sequence and one follow-up flow can outperform months of one-off newsletters, and you only build them once.
Can you integrate email with my website, shop or CRM?
Yes. Website forms, WooCommerce and Shopify orders, booking systems and CRMs such as HubSpot can trigger flows and pass data for segmentation. If you have a bespoke system, we build the connection; we develop custom CRMs and AI automations alongside email, so the integration is in-house.
