Bespoke ERP Development for Businesses That Packaged Systems Don't Fit

Stock, purchasing, quoting, job costing and dispatch built around the way your shop floor and office actually work, delivered one module at a time so the first one is live in weeks, not months.

Bespoke ERP development builds an operations system (stock, purchasing, quoting, job costing, dispatch) around how your business runs, instead of bending the business around a package. Vimana Digital delivers it in phases for manufacturers, distributors and trade businesses, with Xero or Sage kept as the ledger. First module live in 8–12 weeks; each phase quoted at a fixed price.

What an ERP is, and what you might need instead

ERP stands for enterprise resource planning: the system that runs your operations, with everyone working from the same data. The terms get muddled, so:

  • ERPstock, purchasing, sales orders, production, dispatch and finance in one system. The whole business.
  • MRP (material requirements planning)the manufacturing slice, working out what to make and buy, and when, from orders and bills of materials.
  • CRMcustomers, leads, quotes and communication. Often one module of an ERP, or a separate system that feeds it. See bespoke CRM development.
  • Job costingquoting a job, tracking labour and materials against it, and seeing whether you made money. Many trade and engineering firms need this before anything else.
  • Stock controlwhat you have, where it is, when to reorder. Often the first module we build.

Most small businesses asking for "an ERP" need two or three of these, in a particular order. Discovery works out which.

Signs you need an operations system (and signs you don't)

You probably do if:

AB Components Donaldson Filters mobile ecommerce homepage
  • Staff re-key the same order into a spreadsheet, the accounts package and a courier portal.
  • Stock counts are wrong often enough that you over-order to be safe.
  • Quotes take hours because someone looks up materials, labour rates and lead times by hand.
  • You can't see which jobs or customers make money until the year-end accounts.
  • Your current system has a field called "Notes" doing the work of five proper fields.

You probably don't if your process is standard and you have a handful of users: Odoo, Sage 200 or Business Central will be cheaper and faster, and we'll say so. Our software development page has a build-buy-or-extend scorecard.

Making Tax Digital, HMRC's API and why phased delivery matters

The overrun problem, briefly. Panorama's 2026 ERP Report puts the median implementation at nine months, with more than a quarter of organisations over budget, mostly from misfits between system and process found late (Panorama, 2026). That's the case for finding misfits in discovery and going live in modules. It's not the case for the "50–75% of ERP projects fail" figure you'll see elsewhere; the data doesn't support it.

Making Tax Digital, the part that's actually UK-specific. Since 6 April 2026, sole traders and landlords with qualifying income above £50,000 have had to use MTD for Income Tax, with the threshold falling to £30,000 from April 2027 and £20,000 from April 2028; qualifying income is turnover before expenses (GOV.UK, 2026). For VAT, HMRC's rules require "digital links" between the records that feed your return. A bespoke ERP can meet this in two ways:

  1. 1Keep Xero or Sage as the VAT ledger and integrate by APIThe ERP raises invoices and purchase records, pushes them to the ledger, and the ledger files the return. This satisfies the digital-links rule and is what nearly all our clients should do.
  2. 2Submit directly through HMRC's MTD VAT API Possible, but extra scopethe software must retrieve obligations, submit returns and send fraud-prevention headers, then pass HMRC's testing to get production credentials and be listed on GOV.UK (HMRC VAT (MTD) service guide, 2026). Worth it only if you have a reason to leave the ledger behind.

For comparison, Odoo Enterprise ships an MTD VAT module, while Odoo Community needs bridging software at roughly £20–£50 a month (Softomate, 2026).

Integration costs changed this year. Xero introduced tiered API pricing from 2 March 2026: free up to five connections and 1,000 calls per organisation per day, then paid tiers (Apideck, 2026). A single business connecting its own ERP fits the free tier; Sage's API is reported as free.

A package wins when your process is normal, you have few users and want breadth fast; Business Central suits firms already on Microsoft 365. Build when your process isn't normal, when per-user fees across a growing team outrun a one-off build, or when the vendor can't integrate with your machines or couriers.

Barcode scanners, tablets and machines

An ERP that only works at a desk gets bypassed on the floor. We build for barcode and QR scanning on handhelds, tablets that keep working when the wifi drops and sync when it returns, label printers at goods-in and dispatch, and machine or EDI data where it exists.

Published UK agency bands run from £25,000 to £250,000-plus (Procosoft, 2026), with most small and mid-sized builds reported between £40,000 and £150,000; a single-module stock or quoting system starts well below that. To confirm: Vimana to confirm its own bands per module

What is the difference between ERP and CRM?

A CRM manages customers, leads, quotes and communication. An ERP runs operations: stock, purchasing, production, job costing, dispatch and finance, often with the CRM as one module. Many small businesses need a focused operations system first and can add customer management later inside the same platform, which is how we usually phase a build.

Bespoke ERP or Odoo, Business Central or SAP Business One?

Packages suit standard processes and give proven modules quickly. Odoo Standard lists at around £22 per user per month in the UK and Business Central at $80–$110 . Build bespoke when your workflow, machinery or product data is unusual, user numbers are high, or integrations and portals matter more than breadth of features.

How much does a bespoke ERP cost in the UK?

UK agencies publish bands from £25,000 to £250,000+ (Procosoft, 2026), with most small and mid-sized builds landing between £40,000 and £150,000 delivered in phases . A single-module stock or quoting system starts well below that. We quote each phase at a fixed price after discovery .

How long does ERP implementation take?

Panorama's 2026 ERP Report puts the median project at nine months, with more than a quarter of organisations over budget. We shorten and de-risk that by going live in phases: a first module in 8–12 weeks , then further modules every few weeks, so value arrives early and scope stays controlled.

Can a bespoke ERP handle Making Tax Digital for VAT?

Yes, in one of two ways. Most clients keep Xero or Sage as the VAT ledger and we connect by API, which satisfies HMRC's digital-links rule. Direct submission through HMRC's MTD VAT API is possible but is extra scope: HMRC testing, fraud-prevention headers and production credentials. We recommend the simpler route unless you need the other.

Can it integrate with Xero, Sage, couriers and our machines?

Yes. Accounting (Xero, Sage 50 and 200, QuickBooks), couriers, payment providers, barcode scanners, label printers and shop-floor machinery via APIs or file exchange. Xero introduced tiered API pricing in March 2026; a single-business integration fits the free tier (Apideck, 2026) . Each integration is scoped and priced in discovery.

Who owns the ERP, and can we leave you?

You own the source code, data, repositories and hosting on final payment, with documentation and training, and there are no per-user licences. Any competent Laravel/PHP or Node developer can maintain it, and for larger systems we can arrange independent source-code escrow for extra assurance.

Can we claim R&D tax relief on an ERP build?

Possibly. Parts of a bespoke build that resolve genuine technical uncertainty, such as novel scheduling logic or machine integration, may qualify under the merged R&D scheme (20% taxable credit, periods from April 2024) . We document the technical challenges to support your adviser's claim. Always take professional tax advice.

Start with the process everybody hates doing

Describe the order that gets re-keyed three times, or the stock count nobody believes. A discovery call ends with buy, extend or build, and if it's build you get a module roadmap and a fixed price for phase one before anything is coded.
