Software Development Leicester: Stock, Quoting and CRM Systems Built Around How You Trade
If your Leicester business runs on a spreadsheet that has quietly become a system, we build the real one: stock, quoting, orders, CRM and portals, with no per-seat licences and the code yours at the end.
Vimana Digital builds bespoke software for Leicester businesses: stock and order systems for wholesalers, quoting tools for manufacturers, CRMs for financial and professional firms, and customer portals. You own the code, pay no per-user licence fees and get a fixed price after a short discovery phase. Simple tools go live in 3–6 weeks; a first CRM release in 6–12.

What Leicester businesses ask us to build, and why now
Stock and order systems for wholesalersWith 3,335 wholesale and retail enterprises, Leicester leans on distribution more than any city we serve (ONS via Nomis, 2026). The recurring brief: stock in one spreadsheet, prices in another, orders in email, Sage somewhere else. One system with trade pricing, reorder and a Xero or Sage link replaces all four.
Quoting and job tracking for garment makersLeicester's textile cluster, with a second at Hinckley (LLEP), quotes by fabric, run and quantity. The Leicester Labour Market Partnership's Textile Review (2020–2022) directed support at smaller garment manufacturers. A quoting and job-costing module is where most start.
CRM and compliance for financial firms975 financial and insurance enterprises (Nomis, 2026). Our Leicester client Bradgate Financial Solutions runs on a bespoke PHP platform we built and host; brokers also need case tracking, audit logs and document handling.
Licence costs keep risingVertice's SaaS Inflation Index hit 16.4% in June 2026, its highest; Slack rose 20% in 2025. Every new hire is a new invoice. Our build, buy or extend scorecard often says "buy".
Local funding, with caveatsThe Business Gateway's Business Growth Grant can part-fund technology projects (Hinckley & Bosworth BC, August 2025; see FAQ). Made Smarter Adoption for Leicestershire closed on 31 March 2025.
LeadQuoteWonNotts County FoundationPHP platform with bespoke CRM, donation software and an in-house accessibility toolkit to WCAG 2.2, replacing paid plugins. Vimana is now an official partner.

AIPurchase orderMatchedQuotation48 hrs~2 minWebroAn AI agent that reads incoming purchase orders and matches part numbers before a person approves. Order handling fell from up to 48 hours to around two minutes, and the build took three weeks.
Honest note: Bradgate is the only Leicester client above; the others are Nottingham and Midlands businesses whose systems match what Leicester firms ask for.
"They cut through the jargon, simplify the complexities and bring a genuinely open and transparent approach."

Published UK agency bands run from about £2,000 for a single-pipeline tool, £8,000–£15,000 for a typical starter CRM, £15,000–£35,000 for a team CRM with portal, and £40,000–£150,000 for phased multi-module systems. We quote a fixed price after discovery . Regional pricing, no London weighting.
Can you build a stock and order system for a Leicester wholesaler?
Yes; it's the most common Leicester brief. Typical first release: product and stock records, customer-specific price lists, order entry, reorder from history, and a Xero or Sage link, with a trade portal added next. AB Components' 6,000-product searchable catalogue shows the scale we handle.
Is a bespoke CRM cheaper than HubSpot or Salesforce?
Over time, usually, once you pass roughly ten seats. HubSpot Sales Hub Professional lists around £85 per seat a month and Salesforce Core £156 ; fifteen seats cost £15,300–£28,080 a year before 2025-style rises. A £25,000–£40,000 bespoke CRM with modest annual support typically breaks even in two to three years.
Is there a grant for software projects in Leicester?
Possibly. The Business Gateway Growth Hub's Business Growth Grant offers £2,000–£25,000 at 35% of project cost to B2B SMEs trading 12+ months, with "new innovative technology products or services" an eligible use . Contact the Growth Hub on 0116 454 2917. We'll support an application but can't promise an award.
Can the system handle Making Tax Digital and link to Xero or Sage?
Yes. The usual set-up leaves the VAT return to Xero or Sage and links your system to it by API, which meets HMRC's digital-links requirement. Direct submission through HMRC's MTD API is possible but extra scope requiring HMRC testing. Note Xero introduced tiered API pricing from March 2026 ; a single-business link fits the free tier.
Who owns the software?
You do. On final payment, the source code, database, repository and hosting accounts move into your business's name, with documentation another developer could work from. No per-user licences, no lock-in. For larger builds we can arrange independent source-code escrow through an agent such as NCC Group.
How long does a Leicester software project take?
Simple tools go live in three to six weeks. A first usable CRM, quoting or stock release typically takes six to twelve weeks, with larger systems phased over months and the first module live early. Panorama's 2026 ERP report puts the median package project at nine months; phasing is how we avoid that.
Can you work with our in-house IT or existing developer?
Yes. We build in mainstream tools (Laravel, Node.js, React, MySQL, AWS or Azure) that any competent developer can take over, and we document as we go. If your team is a .NET shop we'll say so rather than hand you a stack they can't maintain. Discovery includes a conversation with them.
Do you visit Leicester businesses?
Yes, for discovery and testing sessions if you prefer them in person; there's no travel charge, and Leicester is about 30 miles from our Long Eaton office . We're East Midlands Chamber members, and the Webro project came through a Chamber business adviser. Build and demo stages run remotely with fortnightly screen-shares.
Tell us where the spreadsheets take over
The discovery call is free. We'll recommend buying, extending what you already use, or building, and if it's a build you get a written specification and fixed price before development starts.
