Vimana Digital builds bespoke software for businesses in Derby and Derbyshire: custom CRMs, quoting and job-costing tools, stock and catalogue systems, customer portals and content management systems, in Laravel, Node.js and Next.js. You get a fixed price after a short discovery phase and own the code. Simple tools go live in 3–6 weeks; a first CRM release in 6–12.
Derby has 790 small enterprises (10–49 staff), 160 medium (50–249) and 40 large ones (ONS via Nomis, 2026). The middle band is where bespoke software pays: big enough that a spreadsheet has become the quoting system, and often supplying Toyota, Rolls-Royce or Alstom (University of Derby Top 200, 2025), who expect traceability.
Three things make Derby different from a typical "CRM for small business" brief:
1,000
Traceability is contractual
1,000
Traceability is contractual
Rolls-Royce's Raynesway submarines site is doubling in size with 1,000+ new jobs (TheBusinessDesk, 2024). Nuclear and rail suppliers must record certificates, batch numbers and approvals against every job, which generic CRMs handle badly.
48 hours
Part numbers don't match between systems
A Midlands cable manufacturer, Webro, lost up to 48 hours per large order to that mismatch; our agent now matches it in about two minutes. See AI automation Derby.
16.4%
Licence bills keep rising
Vertice's SaaS Inflation Index hit 16.4% in June 2026, its highest reading (Vertice, 2026). Every new hire at a growing Pride Park or Sinfin firm is another seat.
If HubSpot or Odoo covers 80% of your needs, we'll tell you to buy it. Our build, buy or extend scorecard gives a straight answer.

43%
Your software supplier is part of your attack surface
DSIT's 2026 breaches survey found 43% of UK businesses hit by a breach or attack in the past year, but just 15% had checked their suppliers' risk. Primes ask down the chain; ask us too. To confirm: Vimana's Cyber Essentials status

How a bespoke software project runs
Panorama Consulting's 2026 ERP Report found the leading cause of over-budget projects was "the unexpected need for additional technology", found late (Panorama, 2026). Our process finds it in week two.

Published UK agency bands run from about £2,000 for a single-pipeline tool to £150,000 for phased multi-module systems, with most small and mid-sized business systems between £8,000 and £60,000. We quote a fixed price per phase after discovery. Manufacturers may offset part of it with a Made Smarter grant .
Is a bespoke CRM cheaper than HubSpot for a Derby engineering firm?
Over time, usually. HubSpot Sales Hub Professional lists around £85 per seat a month , so 15 seats cost roughly £15,300 a year before price rises. A £25,000–£40,000 bespoke CRM with modest annual support typically breaks even in two to three years and records the traceability generic CRMs don't.
Can you build a quoting and stock system for a manufacturer?
Yes. Quoting, stock across sites, job costing, purchasing and dispatch are the modules we deliver in phases, with the first live early. We keep Xero or Sage as the ledger and connect by API. We don't yet have a named Derby ERP build to show, and will say so.
Is there funding in Derby for software development?
Possibly. Made Smarter East Midlands offers manufacturers matched grants of up to £20,000 for digital adoption , EMCCA's Business Investment Fund launches late 2026 with technology grants , and qualifying work may attract R&D tax relief. Apply through the Growth Hub or your accountant; we write the technical case.
Can the system integrate with Xero, Sage or our existing software?
Yes. Accounting (Xero, Sage, QuickBooks), payments (Stripe), email and calendars, couriers and most modern APIs can be connected, and legacy Access databases or spreadsheets migrated or linked. Each integration is scoped in discovery and priced as its own line. Xero now tiers API pricing, which a single-business integration fits .
How long does a bespoke software project take?
A simple tool can be live in three to six weeks. Expect six to twelve weeks for the first usable version of a CRM or portal; bigger operations systems roll out in phases over several months, starting with one module. Our Webro workflow took three weeks after another team quoted three months.
Who owns the software once it's built?
Your business does. The code, database, repositories and cloud accounts are handed over on final payment, documented well enough for another developer to pick up. There are no licence fees, and larger Derby builds can use independent source-code escrow for extra assurance.
Do you run discovery on site in Derby?
Yes. Mapping a process works best standing next to the people who run it, so we hold discovery at your premises in Derby or Derbyshire. It's a short A52 drive from The Long Eaton Hub. After that, fortnightly build demos run by screen-share.
Bring us the Derby process your software can't handle
One discovery call, three possible answers: buy a package, extend what you have, or build. If building wins, the written specification and fixed price come before any code. Related: web development Derby · AI automation Derby.
