Should a Nottingham business build its own software?

Most shouldn't. If HubSpot, Odoo or Xero does 80% of what you need for a handful of users, buy it.

The case for building has strengthened for one reason: licence costs are no longer yours to control. Vertice's SaaS Inflation Index reached 16.4% in June 2026, its highest reading (Vertice, 2026). In 2025 Salesforce raised Enterprise and Unlimited prices by around 6%, Slack by 20% and Zendesk by about 15% (Salesforce, 2025; SaaStr, 2025). Every hire is a new seat.

Who that bites in Nottingham:

  • The supply chain around the big headquartersBoots, Experian, Capital One, E.ON and Speedo are based here (Invest in Nottingham). The SMEs that supply them often need portals and integrations a vendor roadmap won't cover.
  • Construction and property1,015 construction and 620 real estate enterprises (ONS, 2026): job costing, site reporting and tenancy admin held together by spreadsheets.
  • Charities and sports bodiesDonation plugins and accessibility overlays charge monthly. For Notts County Foundation we built both in and removed the fees.
  • Admin-heavy services760 administrative and support businesses, where a pipeline tool at £2,000–£5,000 (Jabu Designs, 2026) can replace three overlapping subscriptions.

Our cost comparison and scorecard are on the bespoke software development page.

Paying for it, and protecting it

  1. £107

    EMCCA Business Investment Fund

Announced 7 September 2026, launching late 2026: technology and innovation grants for Nottingham and Nottinghamshire SMEs via the East Midlands Growth Hub. It sits within a £107m Local Growth Fund (EMCCA, June 2026).

  2. 20%

    R&D tax relief

Development that solves genuine technical uncertainty can earn a 20% taxable credit under the merged scheme (from April 2024), and first-time claimants have six months after the period end to notify HMRC (ICAEW, 2024). Take professional tax advice.

  3. 15%

Your supplier is part of your attack surface

Fewer than one in six UK businesses (15%) reviewed supplier risk last year, even though 43% suffered a breach or attack (DSIT Cyber Security Breaches Survey, April 2026). Ask any Nottingham software supplier about role-based access, two-factor authentication, encryption, audit logs and UK-region hosting. We build those in at discovery To confirm: Vimana's Cyber Essentials status, stated only if true.

How a bespoke software project runs

  1. 1Discovery, on site (1–2 weeks)We map the process with the people who do it, at your Nottingham premises, and find exceptions early; Panorama's 2026 ERP report found late-discovered misfits were the leading cause of overruns.

  4. 4User acceptance testingWith your real data.
  5. 5Go live in modulesFirst one early.

Not covered here? Call and ask. We reply within 24 hours.

How much does bespoke software cost in Nottingham?

Published UK agency bands run from about £2,000–£5,000 for a single-pipeline tool, £15,000–£35,000 for a team CRM with integrations, and £40,000–£150,000 for phased multi-module systems; most SME builds land between £8,000 and £60,000. We quote a fixed price after discovery.

Is a custom CRM cheaper than HubSpot or Salesforce for a Nottingham firm?

Over time, usually. HubSpot Sales Hub Professional lists at around £85 per seat a month and Salesforce Sales Cloud at £156 , so fifteen seats cost £15,300–£28,080 a year before price rises. A £25,000–£40,000 bespoke CRM with modest annual support typically breaks even within two to three years.

Is there funding for software development in Nottingham?

Possibly. EMCCA's Business Investment Fund, launching late 2026, includes a grant for technology and innovation for Nottingham SMEs via the Growth Hub; amounts aren't published yet. R&D tax relief may apply where there's genuine technical uncertainty. We can't promise eligibility; ask the Growth Hub and your accountant.

Who owns the software once it's built?

Ownership passes to you on final payment: source code, database, repositories and hosting accounts, plus the documentation a future developer would need. No per-user licences and no lock-in. For larger builds we can also arrange independent source-code escrow.

Can you integrate with Xero, Sage or the systems we already use?

Yes. Accounting (Xero, Sage, QuickBooks), payments (Stripe), email, calendars, couriers and most modern APIs can be connected; legacy Access databases and spreadsheets can be migrated. Each integration is scoped in discovery and priced as its own line. Xero's API moved to tiered pricing in March 2026 .

How long does a bespoke software project take?

Simple tools go live in three to six weeks. A first usable CRM or portal release typically takes six to twelve weeks; larger operations systems are phased over months with the first module live early. Webro's workflow took three weeks because the process was understood before anything was built.

What happens if Vimana closed down?

You'd still have everything: code, accounts, documentation, built on mainstream frameworks (Laravel, Node, Next.js) any Nottingham developer can pick up. For larger systems we can set up source-code escrow with an independent agent that releases the code to you if the developer stops maintaining it.

Can you build an ERP for a Nottingham manufacturer?

Yes, in phases: stock, purchasing, quoting, job costing and dispatch, with the first module live early rather than a nine-month big bang. We don't yet have a named ERP case study , so we'd show you the Webro workflow and the Foundation's CRM and be straight about that.

Describe the job your current system gets wrong

A free discovery call tells you whether to buy off the shelf, extend your current tools or build. Choose build and you'll have a written specification and fixed price before coding begins.

"Amit is very knowledgeable and flexible in his approach and delivered a great website." (Ian Adams)
